A New Way to Share Google Forms!

Up until now, there have always been two choices for who can access and fill out a Google Form - either anyone with the link or anyone in the user's school district with the link. Even if you posted a quiz on Google Classroom and only assigned it to specific students or if you sent the Form to specific email addresses directly from Google Forms, those people COULD copy and paste the link and share it with others.


With the latest Google Forms update, that has changed! Now you can control EXACTLY who is able to access your Form and for how long! The most important thing to note about this update is that there is now an extra step to "Publish" your Form. You will notice that the top right corner of Google Forms has changed:

The purple "Publish" button is required if you want anyone to be able to see/complete the form. No matter what else you do, if you do not publish the Form, it will not be viewable. When you click the button, you will have the option to change who is able to access the Form:

If you want to make changes to who can respond, you would click the "Manage" button. That will take you to a very familiar-looking screen where you can give "Responder" access to individual people or groups of people!

If you choose to invite specific people or groups of people, you also have the ability to set an "expiration" - which means that you could give your students access to a Google Form quiz only until the end of your class period! 🤯

Side note - all other shared Google files can also be set up with access expiration dates/times!


Next to the Publish button are two more new icons that probably look familiar to you:

The Share icon will take you to the same screen we saw above that allows you to control who has access to the Form. The Link icon will give you the link for people to respond to your Form. The old "Send" button is gone, but if you want to email your Form to people, you can still do it. When you are adding responders through the Share window, you can opt to click the box to "Notify people", which will email the Form to them. Or you can always just copy and paste the link into a separate email.


One last important note - all of this only applies to NEW Google Forms. Any old Forms you have will still show the "Send" button and will work the same as they always did. If you are interested in changing one of your existing Forms, you will need to make a copy of it before you have the new options.


This process is definitely a few more steps than you had to do before, but it provides you with significantly more control over who can access your Form and for how long!
